GUEST COUNTS & MENU CHANGES
- Final guest counts are due 30 days prior to the event.
- Guest counts may not be reduced after the final guest count deadline, and the client will remain responsible for the agreed-upon minimum guest count.
- Additional guests may be accommodated when possible and will be charged at the applicable per-person rate. Additional guests are not guaranteed and must be approved by The Ladybug Kitchen prior to the event.
- Menu, package, service, and guest-count changes requested within 30 days of the event may not be accommodated.
- If approved, last-minute changes may result in a $350 last-minute change fee, in addition to any additional food, labor, staffing, rental, delivery, or service costs.
- No refunds will be issued for reductions or changes made after the applicable deadline
DELIVERY, TRAVEL & VENUE ACCESS
Delivery, travel, staffing, rentals, setup, and service fees may be included in the final quote based on the location and requirements of your event.
Clients are responsible for providing the correct event address and any necessary information regarding:
• Parking
• loading/unloading access
• stairs or elevators
• venue restrictions
• kitchen access
• required permits or venue requirements
• and setup/service areas.
Any special access requirements or restrictions that may affect setup, service, or breakdown must be communicated prior to the event.
Additional fees may apply when undisclosed conditions significantly increase the time or labor required to complete the service
KITCHEN & EVENT ETIQUETTE
- The kitchen and designated preparation/service areas must be clean, accessible, and ready for use upon arrival.
- All dishes and items used prior to service should be washed and put away so that adequate workspace is available.
- To provide the safest and most efficient service, clients and guests should limit unnecessary traffic in and out of the kitchen while food is being prepared.
- The Ladybug Kitchen is not responsible for delays caused by an unprepared kitchen or restricted access to the preparation area.
WEATHER & EMERGENCIES
- The safety of The Ladybug Kitchen staff is a priority
- The Ladybug Kitchen does not travel when conditions make travel unsafe, including severe winter weather, dangerous road conditions, or other circumstances that prevent safe travel.
- If The Ladybug Kitchen is unable to safely travel to an event due to weather or another emergency beyond our control, the parties will work together to determine whether the event can be rescheduled.
- If The Ladybug Kitchen must cancel because we are unable to safely fulfill the event, applicable payments will be addressed according to the circumstances of the cancellation.
CHANGES TO EVENT DETAILS
- Any changes to your booking must be communicated and approved in writing.
- Changes may include, but are not limited to: guest count, menu selections, package selections, event location, event time, service style, staffing, delivery requirements, and setup or breakdown requirements.
- The Ladybug Kitchen reserves the right to adjust pricing when changes affect food costs, labor, staffing, rentals, travel, or other event expenses.
CLIENT RESPONSIBILITY
- The client is responsible for providing accurate event information and communicating all relevant details in a timely manner.
- This includes the final guest count, venue address, event timeline, menu requirements, dietary restrictions, allergies, venue policies, and any special requests.
- The Ladybug Kitchen is not responsible for issues resulting from information that was not provided, provided incorrectly, or provided after the applicable deadline.
AGREEMENT
- By submitting payment toward your booking, the client acknowledges that they have reviewed and agree to The Ladybug Kitchen's Booking Policy and the terms outlined in their individual quote or invoice.
- The terms of the individual quote, invoice, contract, or service agreement may contain additional requirements specific to the client's event.
- The Ladybug Kitchen reserves the right to update its policies and pricing for future bookings.
